Claims:
CLAIMS

1. The invention is a physical contract (1 ) confirmation system allowing field staff (3) to perform the operations of filling the mandatory fields (1 .1 ) on a physical contract (1 ) without error and getting it signed while visiting subscribers on site, and comprising the operation steps, wherein the prepared physical contract (1 ) is brought to the location of the subscriber by the field staff (3) (100), the mandatory fields (1 .1 ) found on the physical contract (1 ) are filled and signed by the subscriber (1 10), and it is characterized in that; it comprises the operation steps of: a snapshot of the signed physical contract

(1 ) is taken by the field staff (3) by using a mobile device (2) (120), the snapshot of the physical contract (1 ) is compared with the digital contract (2.2) recorded in the contract control application (2.1 ) installed on the mobile device

(2) , in which the mandatory fields (1 .1 ) and the signature field are not filled (130), if it is determined that all or a portion of said mandatory fields (1 .1 ) are not filled, the field staff (3) is warned via the mobile device (2) to complete the missing parts so as to prevent him/her from proceeding to the physical contract (1 ) confirmation operation (140), if it is determined that all of the mandatory fields (1 .1 ) are filled, said field staff (3) is permitted to continue to the physical contract (1 ) confirmation operation via the mobile device (2) (150).

A physical contract (1 ) confirmation system according to Claim 1 , and it is characterized in that; it comprises the operation step of determining the positions of the digital contract (2.2) rows and columns of the mandatory fields (1 .1 ) on the digital contract (2.2) by means of said contract control application (2.1 ) (131 ).

A physical contract (1 ) confirmation system according to any one of the above given claims, and it is characterized in that; it comprises the operation steps of determining, by means of the contract control application (2.1 ), the rows and columns where the mandatory fields (1 .1 ) seen on the snapshot of the physical contract (1 ) recorded on the mobile device (3) are found on the physical contract (1 ) (132).

A physical contract (1 ) confirmation system according to any one of the above given claims, and it is characterized in that; it comprises the operation step of determining, by means of said contract control application (2.1 ), whether the rows and columns containing the mandatory fields (1 .1 ), positions of which are determined on said digital contract (2.2), are filled or not at the position found on the snapshot of the physical contract (1 ) (133).

A physical contract (1 ) confirmation system according to any one of the above given claims, and it is characterized in that; it comprises the operation step of taking the snapshot of other mandatory documents in attachment to said physical contract (1 ) by means of the mobile device (3) and recording thereof on the mobile device (3) (160).

6. A physical contract (1 ) confirmation system according to any one of the above given claims, and it is characterized in that; said mandatory field (1 .1 ) is the part where the subscriber enters his/her name and surname information.

7. A physical contract (1 ) confirmation system according to any one of the above given claims, and it is characterized in that; said mandatory field (1 .1 ) is the part where the subscriber enters his/her ID No. information.

8. A physical contract (1 ) confirmation system according to any one of the above given claims, and it is characterized in that; said mandatory field (1 .1 ) is the part where the subscriber enters his/her address information.

9. A physical contract (1 ) confirmation system according to any one of the above given claims, and it is characterized in that; said mandatory field (1 .1 ) is the part where the subscriber signs.

10. A physical contract (1 ) confirmation system according to any one of the above given claims, and it is characterized in that; the other document that is required to be given as an attachment to the physical contract (1 ) is identity card.

A physical contract (1 ) confirmation system according to any one of the above given claims, and it is characterized in that; the operation of determining, by means of said contract control application (2.1 ), whether the rows and columns containing the mandatory fields (1 .1 ), positions of which are determined on said digital contract (2.2), are filled or not at the position found on the snapshot of the physical contract (1 ) (133) is performed by determining the difference in colour or shade formed on the mandatory field (1 .1 ) found on said physical contract (1 ) and digital contract (2.2).

A physical contract (1 ) confirmation system according to any one of the above given claims, and it is characterized in that; the determination of the rows and columns where the mandatory fields (1 .1 ) on the physical contract (1 ) snapshot recorded on said mobile device (2) are found on the physical contract (1 ) by means of said contract control application (2.1 ) (132) is performed by determining the difference in colour or shade formed on the mandatory field (1 .1 ) found on said physical contract (1 ) and digital contract (2.2).

A physical contract (1 ) confirmation system according to any one of the above given claims, and it is characterized in that; the operation of taking a snapshot of the signed physical contract (1 ) by the field staff (3) by using a mobile device (2) (120) is the operation of taking a photo of and recording said physical contract (1 ) by means of the mobile device (2).

Description:
DESCRIPTION PHYSICAL CONTRACT CONFIRMATION SYSTEM The Related Art

The invention relates to a physical contract confirmation system allowing field staff to fill and sign contracts without error while visiting subscribers on site. Background of the Invention

Contracts are legal acts made between two or more persons and lawfully supported for complying with their terms. These persons may be real persons or legal persons. Said contracts vary depending on different factors such as the institution, the content of the work done, and criminal sanctions.

Each institution has one or more customized contract formats. Said contracts include elements that need to be found in all contracts as well as specific information about the institution. In some parts, empty spaces are left to fill the name, address, Turkish identity number, tax office and number etc. information of the parties who will make the contract. Leaving one or more of these areas empty while filling the contract causes the contract to lose its legal validity and the parties are left out of the purpose of making the contract. Similarly, contracts that do not have the signature of one or all of the parties have no legal validity. Therefore, it is very important to fill these areas correctly and completely.

Contracts prepared and signed on the level of senior management of institutions are arranged by the lawyers of the institutions and their errors are corrected and the signatures are signed by the senior officials, so that said errors or deficiencies could be avoided.

However, especially for the contracts made between real persons and institutions and prepared in a standard, said deficiencies or errors are encountered while said contracts are brought to real persons for signing, by field staff who are not that competent and authorized.

Problems such as not filling of some of the mandatory fields and processing unsigned contracts are frequently encountered problems.

Considering that telecommunication, electricity, water, gas distribution etc. companies have millions of subscribers, it is of natural consequence that deficiencies would be found in contracts that are not checked on site.

In the prior art, controls made during processing of contracts following signing are manual controls, where errors or missing information may go unnoticed.

Since the contracts that cannot be processed due to the detected deficiencies or errors are considered invalid, and they are required to be rearranged and signed, both the transaction process is extended unnecessarily and the subscriber cannot receive the demanded service on time as the contract is not processed.

Also, in the prior art, converting said contracts into digital media one by one causes a great loss of time, and it is a great burden for the institutions to deal with both the control and the scanning operations for digital conversion. For this reason, institutions often control said documents inattentively do or even do not control at all, which leads to the avoidance of legal protection, which is the main purpose of the contracts.

Again, due to this burden on the institutions, the contracts are often not transferred to the digital media, and difficulties are encountered in accessing the contract signed, in case of any legal dispute. In the US patent application No. US200101 1244 encountered in the literature, it is disclosed that: "The data processing apparatus adapted especially for facilitating unprocessed cotton trade comprises registering of a buyer and a seller. The registered sellers send the information of the unprocessed cotton they have for sale, and the buyers send their purchase offers. The purchase offers are matched with the cotton suitable for sale and the seller offer with the lowest asked price is chosen and a purchase suggestion is generated. The suggestion can be accepted or rejected by the buyer, and the buyer also has the option to provide a counter offer. When an offer is accepted, a contract is generated electronically after a biometric security control, and exchanged between the parties so that the whole operation can be made without human intervention. The process of commerce is simplified, performed in a quick and efficient manner, and the costs are reduced."

In the said application, a system has been provided which allows electronic contracting between parties after a trade deal is made on electronic media. However, it is not possible to avoid problems caused by deficiencies or errors in said contracts.

As a result of the above given reasons, need has occurred for a novel physical contract confirmation system.

Description of the Invention

From the known status of the art, the purpose of the invention is to provide a physical contract confirmation system which eliminates the prior art drawbacks.

Another purpose of the invention is to provide a system which allows field staff to get contracts filled and signed without error while visiting subscribers on site.

Another purpose of the invention is to provide a system which minimizes the processing time of contracts.

Another purpose of the invention is to provide a system which prevents legal problems arising from erroneous contracts.

Another purpose of the invention is to provide a system that allows subscribers to receive the service they demand in a shorter period of time.

Another purpose of the invention is to provide a system which enables simultaneous digital archiving of contracts as they are signed. Description of the Figures

In this detailed description, the novelty according to the invention is only disclosed for better understanding of the subject without forming any limiting effect.

The invention relates to a physical contract (1 ) confirmation system allowing field staff (3) to perform the operations of filling the mandatory fields (1.1 ) on a physical contract (1 ) without error and getting it signed while visiting subscribers on site.

The invention is a physical contract (1 ) confirmation system allowing field staff (3) to perform the operations of filling the mandatory fields (1 .1 ) on a physical contract (1 ) without error and getting it signed while visiting subscribers on site, and comprising the operation steps, wherein the prepared physical contract (1 ) is brought to the location of the subscriber by the field staff (3) (100), the mandatory fields (1.1 ) found on the physical contract (1 ) are filled and signed by the subscriber (1 10), and it is characterized in that; it comprises the operation steps of: a snapshot of the signed physical contract (1 ) is taken by the field staff (3) by using a mobile device (2) (120), the snapshot of the physical contract (1 ) is compared with the digital contract (2.2) recorded in the contract control application (2.1 ) installed on the mobile device (2), in which the mandatory fields (1 .1 ) and the signature field are not filled (130), if it is determined that all or a portion of said mandatory fields (1 .1 ) are not filled, the field staff (3) is warned via the mobile device (2) to complete the missing parts so as to prevent him/her from proceeding to the physical contract (1 ) confirmation operation (140), if it is determined that all of the mandatory fields (1 .1 ) are filled, said field staff (3) is permitted to continue to the physical contract (1 ) confirmation operation via the mobile device (2) (150).

Figure 1 shows a schematic view of the physical contract (1 ) confirmation system according to the invention. Figure 2 shows a flow diagram showing the operation steps of the physical contract (1 ) confirmation system according to the invention.

Said field staff (3) arrives at the place where the subscriber is found in order to ensure filling and signing of the mandatory fields (1 .1 ) of the physical contract (1 ), which is prepared and printed out beforehand (100). The mandatory fields (1 .1 ) found on said physical contract (1 ) are filled and signed by the subscriber (1 10). A snapshot of the signed physical contract (1 ) is taken by the field staff (3) by using a mobile device (2) (120). Said operation of taking a snapshot (120) is the operation of taking a photo of and recording said physical contract (1 ) by means of the mobile device (2).

The snapshot of the physical contract (1 ) is compared with the digital contract (2.1 ) recorded in the contract control application (2.1 ) installed on the mobile device (2), in which the mandatory fields (1 .1 ) and the signature field are not filled (130). During said comparison operation (130), the positions of the digital contract (2.2) rows and columns of the mandatory fields (1 .1 ) on the digital contract (2.2) are determined by means of said contract control application (2.1 ) (1 31 ). At the same time, by means of the contract control application (2.1 ), the rows and columns where the mandatory fields (1 .1 ) seen on the snapshot of the physical contract (1 ) recorded on the mobile device (2) are determined on the physical contract (1 ) (132). It is determined whether the rows and columns containing the mandatory fields (1 .1 ), positions of which are determined on said digital contract (2.2), are filled or not at the position found on the snapshot of the physical contract (1 ) (133). In a preferred embodiment of the invention, the operation of determining, by means of the contract control application (2.1 ), the rows and columns where the mandatory fields (1.1 ) seen on the snapshot of the physical contract (1 ) recorded on the mobile device (2) are found on the physical contract (1 ) (132), and the operation of determining whether the rows and columns containing the mandatory fields (1 .1 ), positions of which are determined on said digital contract (2.2), are filled or not at the position found on the snapshot of the physical contract (1 ) (133) are performed by determining the difference in colour or shade formed on the mandatory field (1.1 ) found on said physical contract (1 ) and digital contract (2.2).

When this colour or shade difference is detected, it is understood that the mandatory fields (1 .1 ) found on the physical contract (1 ) are filled. If there is no colour or shade difference, it is understood that the said mandatory field (1 .1 ) is not filled. If it is determined that all or a portion of said mandatory fields (1.1 ) are not filled, the field staff (3) is warned via the mobile device (2) to complete the missing parts so as to prevent him/her from proceeding to the physical contract (1 ) confirmation operation (140). Thus, when the field staff (3) performs an incorrect or incomplete transaction, it is possible to correct these errors while they are still near the subscribers. Following correction of the error by said field staff (3), the snapshot of the physical contract is taken again via the mobile device (2) (120) and the snapshot of said physical contract (1 ) is compared again with the digital contract (2.2) recorded in the contract control application (2.1 ) installed on the mobile device (2), in which the mandatory fields (1 .1 ) and the signature field are not filled (130).

If it is determined that all of the mandatory fields (1 .1 ) are filled on the signed physical contract (1 ) with the missing parts filled, the field staff (3) is permitted to continue to the physical contract (1 ) confirmation operation via the mobile device (2) (150). Thus, the field personnel (3) are prevented from making mistakes.

Finally, the field staff (3) takes the snapshot of other mandatory documents as attachment to said physical contract (1 ) by means of the mobile device (2) and records thereof on the mobile device (2) (160). In this way, said physical contract (1 ) confirmation operation is completed (170).

The said other documents that are required to be given as an attachment to the physical contract (1 ) are identity card, signatory circular, etc. personal documents.

Said mandatory fields (1 .1 ) are the parts where the name, surname, address, ID No., signature etc. information of the subscriber are found on said physical contract (1 ).
