In a data storage system including multifunction devices 1 interconnected through a network, personal computers (PC) 2-4 and a mail server 5; a communication condition when a document storage application in the PC 3 receives a document from the multifunction device, and a processing condition when a document management application stores the document, are detected. An electronic mail is generated according to the detection result, and the generated electronic mail is transmitted to a user PC.
