Abstract:
The present invention is a system for providing verified information of employees and certified copies of their verified testimonials which links all the employees, employers, educational institutions and certifying institutes, verification agencies and police departments who contribute to the system. Employees upload their basic, educational and employment details from which the basic details are verified from the information obtained from the Government database, educational details are verified from the data obtained from the institute through which the employee has obtained education and employment details are verified from the data obtained from employers. They can also get certified copies of their testimonials whenever required. The details which aren't verified are sent to verification agencies for verification Police department uploads the data of all the criminals which gets stored in the central server to be synchronized with the employee data. Thus the system provides complete verified information of all employees.

Claims:
I claim,

1. System for providing verified information of employees and certified copies of their verified testimonials which has a database containing the details of all the employees including but not limited to their educational qualifications, their work experience and their personal details all of which is verified through authentic sources wherein employees enter their basic data as well as their educational details, which get verified through the corresponding institute, and work details, which get verified through the corresponding employers; employers gain access to and view the verified details of their prospective employees as well as update the data of their current employees; educational institutions and certifying institutes upload the data of all their previous and current students which is updated regularly and provide the format of various certificates issued by them so that the system can provide certified copies of these testimonials to employees whenever required; verifying agencies, who are given the work of verifying unverified data and upload their report after completing the verification process; and police stations, who upload and update the data of all the fraudsters and criminals who have performed illegal activities which gets synchronized with the employee data.

The system for providing verified information of employees and certified copies of their verified testimonials as claimed in claim 1 wherein employees register with the system by giving their basic details, which are verified by the system, and by creating a login ID which is password protected to interact with the system following which they are indexed in the system with one or more of their permanent data like their Permanent Account number, Aadhar card number, Passport number, citizenship number and others such that the employee's basic and personal details are verified by the details present in these permanent data which are linked with the system.

3. The system for providing verified information of employees and certified copies of their verified testimonials as claimed in claim 2 wherein the employee, upon registration, adds his educational qualifications and academic achievements following which:

(a) the data is immediately verified if the educational institutions are linked with the system by synchronizing the data with the data obtained from educational institutions;

(b) the data is marked as unverified if the educational institutions haven't uploaded their students' academic data and the institutions are requested to upload their data so that it can be used for verification;

(c) the data is marked as unverified if the educational institutions still don't upload their data and it is sent to an approved verification agency for verification with prior consent of the employee who agrees to pay for the verification process and on receiving the report of verification from the verifying agency, the data is marked as verified; or

(d) the data remains as unverified if the employee doesn't agree for external verification and this data gets verified whenever in future the educational institution links with the system.

4. The system for providing verified information of employees and certified copies of their verified testimonials as claimed in claim 3 wherein the employee, after adding his educational details, adds his work experience details including his date of joining, position held, salary structure, incentives, achievements, increments, date of relieving from previous employments and other details following which: (a) the data is immediately verified if the employer is linked with the system by synchronizing the data with the data obtained from the employer;

(b) the data is marked as unverified if the employer hasn't uploaded his previous and

present employees data and the employer is requested to upload his data so that it can be used for verification;

(c) the data is marked as unverified if the employer still doesn't upload his data and it is

sent to an approved verification agency for verification with prior consent of the employee who agrees to pay for the verification process and on receiving the report of verification from the verifying agency, the data is marked as verified; or

(d) the data remains as unverified if the employee doesn't agree for external verification

and this data gets verified whenever in future the employer links with the system.

5. The system for providing verified information of employees and certified copies of their

verified testimonials as claimed in claims 3 and 4 wherein the educational details and the work experience details added by the employee are supplemented with his certificates which are uploaded and the data gets saved in a non-editable mode.

6. The system for providing verified information of employees and certified copies of their

verified testimonials as claimed in claim 3 and 4 wherein under circumstances namely, if the synchronized data is found erroneous by the employee, if some mismatch of data is detected during the synchronization due to which the details remain unverified, if some erroneous data entered by the educational institute or employer is detected by the employee or if a change is required in the basic details of the employee, the employee informs the back end team of the system regarding the changes to be made who verify the data to be changed and if the employees request is found authentic, they change it.

The system for providing verified information of employees and certified copies of their verified testimonials as claimed in claim 5 wherein after the uploading of the complete data of the employees, the system gives a score to all employees based on the comments provided by his employers, his academic achievements, his stability, integrity, experience, sincerity, dedication and other such factors which aids a new employer in identifying and employing the right candidate.

The system for providing verified information of employees and certified copies of their verified testimonials as claimed in claim 7 wherein the employer records with the system, the details of frauds, illegal activities or malpractices committed by any employee during his work tenure which may or may not be registered with the police station so that such activities get known to a new employer before recruiting an employee.

The system for providing verified information of employees and certified copies of their verified testimonials as claimed in claim 1 wherein employers register with the system by giving their basic details, which are verified by the system, and by creating a login ID which is password protected to interact with the system following which they are indexed in the system with one or more of their permanent data like their Permanent Account number or other such identification number such that the employer's basic details are verified by the details present in these permanent data which are linked with the system.

The system for providing verified information of employees and certified copies of their verified testimonials as claimed in claim 9 wherein after registering with the system, the employers upload and update their previous and current employees data in the format provided by the system which gets stored with the system such that when any previous employee of the employer registers with the system, the stored data is used for synchronizing and verifying his data.

The system for providing verified information of employees and certified copies of their verified testimonials as claimed in claim 10 wherein the employer periodically updates the data of his current employees including but not limited to the change of position of employees in the company, their increment, their trainings, achievements, salary structure, perks enjoyed along with the details of frauds, illegal activities or malpractices if any conducted by any of the employees, as well as immediately updates when an employee gets relieved from his job giving him a no objection and no due certificate which may contain the mention of the illegal activiies following which he loses his authority to access and update the relieved employee's data.

The system for providing verified information of employees and certified copies of their verified testimonials as claimed in claim 1 1 wherein when an employer finalizes a candidate for recruitment with him, he asks the prospective employee for his basic details for verification with the system following which he can access and download the prospective employee's data which has verified and unverified information of the prospective employee providing the employer with authentic information of his prospective employee's details including but not limited to his educational qualification, work experience, his position occupied and salary drawn in his previous job, his certificates and credentials from his previous employers as well as the score provided to the employee by the system which helps in the decision making process of the employer to employ the candidate.

The system for providing verified information of employees and certified copies of their verified testimonials as claimed in claim 12 wherein when an employee gets a new job he confirms a link sent by the new employer following which the new employer gains access to the employee's data, can view his previous details in a non-editable mode and can update the employee's present status and present employment details at regular intervals.

The system for providing verified information of employees and certified copies of their verified testimonials as claimed in claim 1 wherein educational institutions and certifying institutes include but are not limited to schools, colleges, government boards including state boards, central boards, ICSE boards, universities awarding degrees to students, training institutes awarding certificates to students and others who register themselves with the system by giving their basic information and uploading required documents to authenticate themselves following which they get a login ID which is password protected to gain access to the system after which they upload the academic data of all their previous and present students onto the system giving details including but not limited to the year of passing, stream of study, result, certificate number and others which are stored and regularly updated after every academic session, in the central server in a properly indexed manner to be synchronized with the employee data for its verification.

The system for providing verified information of employees and certified copies of their verified testimonials as claimed in claim 14 wherein educational institutions and certifying institutes upload the format of all their certificates on the system so that an employee, if needs a certified copy of his one or more certificates, can verify with the system and pay a nominal amount of money, which may or may not be shared with the institute or the Government as per mutual agreement, following which he can download a bar coded, certified copy of his required certificates which is accepted as such everywhere.

The system for providing verified information of employees and certified copies of their verified testimonials as claimed in claim 1 wherein all police stations register themselves with the system or if that is not possible, the central police commissioner office registers itself with the system by giving their basic details and creating their login ID which is password protected following which they upload and update the data of all the criminal activities recorded in their police station along with mentioning the details of the case and the closure of the case giving all the details which is indexed with the personal identification data of the person and gets stored in the central server and gets synchronized with the employee data when it is entered.

The system for providing verified information of employees and certified copies of their verified testimonials as claimed in claim 1 wherein verifying agencies include but are not limited to private investigative services who conduct verification and authentication of people for financial gains wherein such verification agencies register with the system to be allotted work, for which they give their basic details and upload requisite documents which prove their integrity, quality of work, experience, locations, details of their work force and other such parameters which are verified by the system after which the terms and conditions for the verification process are mutually agreed upon to following which they get a login ID which is password protected to gain access to the system.

The system for providing verified information of employees and certified copies of their verified testimonials as claimed in claim 17 wherein the verifying agencies associated with the system are given the unverified data accumulated from the employees working in the demographic area of the verifying agency which needs to be verified which is downloaded by these agencies and verified from the employee's educational institution or previous employer as per the requirement, following which they upload their report with the system along with marking the certificate details as verified after which the data is synchronized with the employee data and is marked as verified by the verifying agency. 19. The system for providing verified information of employees and certified copies of their verified testimonials substantially herein described with reference to the foregoing description and diagrams.

Description:
TITLE OF THE INVENTION:

System for providing verified information of employees and certified copies of their verified testimonials

FIELD OF THE INVENTION:

The present invention relates to a system which provides all the educational and work experience related details, along with criminal details if any, of all the employees which are verified by the issuing authorities or through authentic sources, and also providing certified true copies of verified testimonials.

BACKGROUND OF THE INVENTION:

Information is the data which informs. It is the data which is accurate, specific and organized for a purpose and which is presented within a context that gives it meaning and relevance and which leads to an increase in understanding and decrease in uncertainty. Information can be obtained from numerous sources. But this information may be authentic or fake. To confirm if information obtained is authentic, it needs to be verified. The process of verification involves verification of the content of the information, the context surrounding it as well as the technical information underlying it.

Any adult person, after completing his education or during the course of his education, desires to work, mostly for financial gains. To search for a job people visit various offices and companies for recruitment and contact placement consultants who assist them in getting a job. The latest technological advancements are job portals on which people upload their resume, input their personal, academic and professional details and achievements and upload their academic and experience certificates. Then they start searching for jobs of their interest and apply for these vacancies. On such job portals, numerous companies float the details of vacancies in their companies and mention their requirements. So when people view these details and feel interested in working, they apply for the job following which the companies view their resume, uploaded certificates and other documents. Some job portals don't give direct access to all the documents of the job seeker, but store these documents online and whenever a recruiter needs these documents, the portal mails them to the recruiter with a digital signature for further verification.

US Patent 699671 1 discusses a certificate validation mechanism for a network interface. The certificate validation mechanism maintains a certificate cache containing local copies of certificates with associated validity indications. The certificate validation mechanism is operable to compare a certificate associated with a received message to the certificate cache and, where the certificate associated with the received message is held in the certificate cache, to associate with the message an indication of validity retrieved from the certificate cache. By providing a cache for certificates local to the network interface, the need always to verify a certificate by reference to a public repository is removed. If a certificate is not held in the local cache, then it can still be necessary to query the public repository. Nevertheless, the verification mechanism provides more immediate verification of certificate validity as this can be made locally without the cost and time of the remote verification at the public repository. The verification mechanism can form part of portal for a network interface.

US Patent 7069266 gives system and method for personnel management collaboration in which each employee has an employee profile data area that is used to store planning data and actual data corresponding to the employee. Planning data includes risk analysis data, compensation data, and development planning data. Actual data includes current compensation data and performance data. A management team may have a common project manager with many department managers. The project manager selects employees normally included in the project manager's view, such as the department managers, and excludes them to form a new view in order to protect the confidentiality of the department manager's data. The new view can be shared amongst the department managers without compromising confidentiality. Employee data pertaining to employees reporting to the department managers is still included in the view for collaborative management meetings and online discussions. Changes to employee data are visible to all of the managers.

US Patent Application 2003200142 provides an on-line employee incentive system which is a method and system for administering and redeeming accumulated employee loyalty points over a distributed computer network such as a company's Intranet or the Internet is disclosed. In general, the method includes two web-based modules which deliver the program to the employer/employee and interconnectivity to external systems. An employer administrative module allows managers to easily award points as well as run reports to track incentive activity. The employee module allows employees to check and redeem their points online. Employees can earn points for defined behaviors including perfect attendance, meeting sales quotas, or meeting a project deadline. The employee module offers secured login and handles point redemptions for items including certificates, merchandise, and travel. In addition to these modules, interconnectivity to various Human Resources Information Systems (HRIS), payroll, and compensation systems is provided. A second aspect of the present invention is generally characterized in an online employee loyalty system implementing the above method. US Patent Application 20040059684 relates to a network based employee benefit system which has an electronic commerce server which includes an employee data base containing information about employees of a predetermined company, a product data base containing information about a plurality of products, and a control module for receiving cyber money provided by the company to an employee, the cyber money to be used by the employee l isted in the employee data base to purchase a product listed in the product data base online. Thus, the efficiency of a benefit system provided by the company is improved, and also, the employees will be more satisfied with the company.

US Patent Application 20100131312 discloses management and administration of employee eligibility verification forms in which methods and computer-readable media provide for the management and administration of employee eligibility forms, e.g., United States Form 1-9. An 1-9 Management and Administrative Program (IMAP) maintains an inventory accounting process for United States employee 1-9 forms, provides a semi-automated means of contacting employees in specific circumstances using specific dates as a basis, and reports on the status of I- 9 forms. An employee eligibility form may assume different medium types, including a paper format, CD-ROM, and electronic format. An employment eligibility document is received from an employee, where the employment eligibility document includes an employee eligibility verification form. The employment eligibility document is verified, and, when a discrepancy is detected, the employee is automatically notified about the discrepancy. The employment eligibility document may include at least one supporting document in order to establish the identity and employment eligibility of the employee.

US Patent Application 2012310851 relates to a method and system of providing an on line employment opportunity to job seekers and employee seekers. The method includes consideration from the employee seeker to the job seeker in exchange for viewing access to the job seekers credentials and identifying information. The method further reduces the amount of effort for employee seekers and job seekers to identify each other's compatible preferences by categorizing credentials into levels of data, which can be managed within the system.

US Patent Application 20130060651 gives a method and system for web based job portal in which a pre-paid fee based Job Portal method comprises in-depth and up-front verification of all job seekers and employers. A job seeker can also earn by interviewing other job seekers; he-she may also bid on projects as an individual or in a group. An employer can view verified job seeker's profile with prescreened reports. An employer can post projects for a job seeker to bid. US Patent Application 2015073823 discusses a real-time compliance system which gives systems, methods, and computer program product for ensuring compliance by an employee to requirements of an employer which includes storing a profile of each employee in a database. The profile of each employee includes information about one or more contractual relationships related to a practice of that employee. A first online portal is provided to each employee with a profile in the database. The first online portal presented to each employee has a user interface customized for that employee through which that employee dynamically manages the information in the profile of that employee. An employer of one or more of the employees with a profile stored in the database accesses the dynamically managed information in each profile of that one or more employees through a second online portal. One or more rules are automatically applied to the information accessed by the employer to determine whether the one or more employees are in compliance with requirements of the employer.

WO 0133392 describes employee portal and method for use therefor which allows an employer to deliver an aggregation of services and information to employees over a company intranet, strengthening employee loyalty by providing additional benefits and assisting employees to maintain a healthy balance between work and personal life. Employees link to a customized extranet portal through a hyperlink from the company's intranet. The portal, a scalable, customizable software application leased to the company on a subscription basis from a service provider, provides an online shopping mall in which employees may purchase from a selection of discounted goods and services. The portal also provides a selection of communications tools and community tools to enhance communication between employer and employee, and cooperation and community among employees.; A controlled access administration module allows an Administrator, typically a human resources representative, to manage the various services and tools and to publish information at the company and group level. The portal application allows a portal to be deployed very rapidly, using a configuration tool that creates a logically separate, virtual portal space, defines content for the portal, defines target groups within an employee population, and customizes content and services to the target groups according to rules specified by the employer.

AU 2015100186 relates to background checking in which Execucheck (TM) is a premi um human resources tool that uses various government and online resources to compile a comprehensive report to help a recruiter assess the suitability of a candidate for a senior-level vacancy at their firm. By uncovering a candidate's personal and professional history, which may have been withheld throughout the interview process, Execucheck (TM) can help a company hire the right individual for the role, avoiding a human resources mistake in the process. An Execucheck (TM) report, which takes on average two days to complete, contains a Criminal Background, Company Director Check, Bankruptcy Report, and Online Profi le Audit, which includes social media results and online news articles implying positive and negative characteristics of the candidate. A premium report, Execucheck (TM) is ideal for prominent companies whose reputation relies on the accountability of company representatives and figureheads that act as the face of the company. It protects the company's public stature by preventing the hiring of a senior employee who could compromise day to-day operations. With access to numerous government agencies and databases, all information is verified and official, sourced from public databases. Execucheck (TM) abides by the strictest legal and privacy standards, which includes the purging of all candidate data after the completion of an investigation.

TW 201314592 discusses a method of verifying employee identity which includes steps of registering data, comparing data, system authentication, responding authentication and completing verification. After a registrar files an employee verification application, the method is provided for automatically confirming and checking an employee identity of the registrar. Therefore, it can greatly increase the reality and confidence of authenticating an employee of a company to prevent an unauthorized person from using company's resources. In addition, it can save time and labors comparing to the typical registration processes.

CN 103093131 gives a method for authenticating identities of enterprise employees. The method mainly includes steps of login data, data comparison, verification by the aid of a system, verification replay, authentication completion and the like. By the method, the enterprise identity of a registrant can be automatically confirmed and checked after the registrant applies for enterprise employee authentication, accordingly, the authenticity and the credibility of the enterprise employee authentication can be greatly improved, and a phenomenon that an intentional person illegally uses an identity of an enterprise employee is effectively prevented. Besides, the method has the advantage that an effect of saving checking labor and time can be realized as compared with an existing application process.

Indian Patent Application 2610/CHE/2008 discloses a system and method of integrated identity management and e-governance of government employees throughout the country, using as the foundational platform an electronic database of all government employees appurtenant to each central ministry and of each State/UT, collectively referred to as the Central Registry of Government Employees (CRGE). Such Registry contains relevant particulars including biometric data of each employee including civil servants in uniquely designed formats knows as Tabs® which are periodically updated and stored. The electronic database of employees of each such Central and State / UT Government is maintained by respective Authorities in a highly secure and rigidly compartmentalised manner, with access thereto enabled only via stringent multiple-level user controls. Government and controlling authorities overseeing the deployment, performance and operational details of employees of various central and State/UT Governments would be enabled by the interoperatability facility provided by the instant invention to ( 1 ) seek and obtain online analyses and reports from some or all of the central and State/UT Governments at any time; and (2) to instruct the online transmission/ sharing of any specific data belonging to a given central ministry or State/UT department with some or all of the other central ministries or of other States/UT Governments. Importantly, the instant invention obviates the need to maintain paper based records of government employees, as per current and conventional practice. Data stored on the card chip is securely ported from the Central Registry of Government Employees and accessed by authorised officials via card reader units located at various Government offices countrywide as well as through mobile handheld devices at any user location by accessing the central server online. Although a number of methods for compiling and authenticating data of employees are available in the prior art, a system which accumulates data of all employees, which is obtained through the employee's previous employers and the academic institutions in which the employee has studied, including his criminal data if any, which is non-editable and is verified by the source of that information and which also provides certified true copies of the verified testimonials of the employee, is the need of the day.

OBJECT OF THE INVENTION:

The main object of the invention is to provide a system for providing verified information of employees and certified copies of their verified testimonials in which the employees' information and details are obtained from the previous employers' , academic institutes, government boards and universities and other credible places so that the data obtained is verified data which is stored and can be accessed from the system by the employee's prospective employer's after going through a verification process.

Another object of the invention is to provide for a system for providing verified information of employees and certified copies of their verified testimonials in which any data of the employees, which hasn't been verified through authentic and credible sources, is verified by taking the services of external verification agencies who authenticate the data and submit their report of verification of the data which gets recorded in the system.

Still another object of the invention is to provide for a system for providing verified information of employees and certified copies of their verified testimonials in which the employees, while changing a job, can easily obtain a no-objection certificate from their previous employers as the complete process becomes simple and transparent. Yet another object of the invention is to provide a system for providing verified information of employees and certified copies of their verified testimonials in which the system provides a scoring method for employees depending upon their educational qualification, work experience, services rendered and stability during the job, training rendered and reliability of the employee and other factors of his job tenure, making the selection process easy and reliable and providing a common procedure for scoring of employees during selection.

A further object of the present invention is to provide a system for providing verified information of employees and certified copies of their verified testimonials in which any frauds or crimes committed by the employees throughout their life, during both academic and employment phases, are distinctly mentioned in their profile by the employer or by the police department which becomes a threat to their future employment prospects making them less inclined to pursue such illegal activities.

A still further object of the present invention is to provide for a system for providing verified information of employees and certified copies of their verified testimonials which makes the employee data verification process cheaper, reliable and fast thereby reducing the financial burden and hassles of verification for prospective employers.

A yet further object of the present invention is to provide for a system for providing verified information of employees and certified copies of their verified testimonials which on request by the employee, provides certified true copies of his various verified testimonials at a nominal charge.

SUMMARY OF THE INVENTION: The present invention is a system for providing verified information of employees and certified copies of their verified testimonials in which the employee provides his educational and employment details. The academic details provided by the employee are verified from the institutes mentioned by the employee while the employment details are updated by the employers thereby verifying them. Any information which hasn ' t been verified is provided to an external verifying agency which gets the verification done and submits the report which is uploaded in the system making the information verified. A prospective employer who wishes to recruit an employee is provided access to his data by a verification process, following which he can view the complete profile of his prospective employee in a non-editable mode. The profile contains the complete academic, training, professional and personal details of the employee including his scoring provided by the system as well illegal activities, if any, performed by him throughout his life. This complete profile helps the prospective employer in making a decision for recruiting the employee. The system also provides the employee with certified copies of his verified testimonials when requested for, by paying a nominal fee. for the same.

The nature of the invention and the manner in which it is performed is clearly described in the specification. The invention has various components and they are clearly described in the following pages of the complete specification.

Due to growth and development, the world has become a smaller place. World wide web has brought the whole world closer and made access to information easy. People can search the internet for any information they require. Companies have their own websites on which they regularly update their progress and requirements. Job seekers browse the websites of companies to search for jobs matching their qualifications and experience and apply to such vacancies, online. The company meets the prospective employees, conduct interviews and if they are satisfied with one or more candidates, they verify the details submitted by the candidate by hiring some verification agency, who investigates and authenticates the academic as well as past experience of the candidate mentioned in his details. If the verification report given by the agency is satisfactory, the company hires the candidate(s).

On many occasions, in between the companies and the candidates, come placement consultants or job portals. The placement consultants have profiles of a number of candidates interested in getting jobs in different fields. Companies contact these placement consultants for candidates, giving their requirements. The consultants match the requirements with the candidates, contact the chosen candidates and arrange for their interview with the companies representatives. Upon selecting prospective employees, the companies get the verification of the person done by taking the services of an external verification agency before hiring the candidate. Similarly job portals too have profiles of numerous candidates who log into the portal and upload their profile along with their academic details, work experience and their certificates. Companies post their requirements on these job portals or browse the profiles available for candidates who fit their requirements, interview them and when they find prospective employees well suited for their job, get their verification done before hiring.

In all these methods of recruitment, the verification process of prospective employees becomes time consuming, expensive and is repeated every time an employee applies for a new job. So companies have to bear financial burden of this process each and every time they recruit new employees. Moreover there are chances that the prospective employee hides some information about some illegal activity or fraud committed by him, the details of which don't crop up in this verification process. Such employees may harm the company or its reputation in future.

The present invention is a system for providing verified information of employees and certified copies of their verified testimonials. It has a database containing the details of all the employees including their personal details, their academic achievements, work experience etc. all of which is verified. The system is accessed by five kinds of people as shown in Fig. 1 which gives the overview of the system. These include employees, employers, educational institutions, certifying and verifying agencies and the police department.

Employee: Employees, here include all the people of the country who are employed with a job and individuals who like to keep their record verified and updated. All such employees have to register in the system by creating a login ID and providing a password and their basic details which are confirmed after which they are registered with the system having their unique ID and password. Following this, they can log in as an existing user and are indexed by permanent data like their Permanent Account Number (PAN No.) or Aadhar card no. in India or Passport Number or citizenship number in other countries. These permanent data are also linked with the system such that as soon as an employee enters his number all his information stored in these permanent data is made available to the system of the present invention for verification. As all this data is collected from the institutes and certifying agencies where the certificates are originated and issued, this data has the highest level of authenticity and so the information after matching becomes verified.

After this the employee as shown in Fig. 2 starts adding his data in the portal starting with his educational qualifications most of which has to be selected from drop-down boxes available in the system which have all the options available for each qualification. As soon as he enters this data, the system verifies this data from the data of the academic institute or government approved boards which has linked its data with the system by comparing all the details. If these details match, the data is marked as verified. However if the academic institute hasn't linked itself with the system and its data isn't available, the employee's data is marked as unverified. The system automatically sends a mail to the institute to link itself with the system and upload its data of previous years to be accessed by the system for verification purposes. Still if the institute doesn't link its data with the system, the educational details are sent to a private verification agency for verification with prior consent from the employee who bears the cost of the verification process. If the employee doesn't wish to get it verified, the data entered is marked as unverified and remains such. In future, if the academic institute links itself with the system, the data gets synchronized and gets verified for the employees who had studied with the institute and their educational information is then marked as verified. All of the employees educational qualifications are uploaded and verified in the same manner and the corresponding certificates are uploaded. The data once entered by the employee remains frozen and cannot be changed by the employee himself too.

Similarly, the employee adds his work experience details of the companies in which he has worked. In the system of the present invention, all employers in the country are invited to link with the system and input the data of their previous as well as current employees including their date of joining, position held, salary structure, incentives, increments, appraisals and other details along with the date of detachment for previous employees. So when the employee enters his details, if his previous and current employers are linked with the system, the employers' data gets synchronized with the employees' data and this synchronized data is marked as verified as it is obtained from the employer himself. However, if the employee enters his previous employment details of such employers who haven't linked themselves with the system, the system sends mail to such employers to link themselves with the system and upload the details of their previous and current employees. Once the details are received, the data gets synchronized with the employee data and the information is marked as verified. The data which is used from the central server for synchronization with the employee data ill be flagged as used with cross reference of the employee indexing data. But still if the employers don't link themselves with the system and don't upload their previous and current employees' data, the employees' work experience details are sent to a private verification agency for verification with prior consent from the employee who bears the cost of the verification process. If the employee doesn't wish to get it verified, the data entered is marked as unverified and remains such. In future, when the employer links itself with the system, the data gets synchronized and gets verified for the employees who had worked with the employer and their work experience is then marked as verified. All the work experience details of employees are added and verified in similar manner. Moreover the certificates of trainings or achievements, procured by the employee during his employment are uploaded and verified in a similar manner. The employee cannot change any verified data present in the system after it is saved.

When the employee has completed entering his details, the information gets verified or remains unverified and is available to the employers for access from the system. Once entered, the employment details can't be edited by the employee. Only the current employer of the employee has the right to edit and update the data. All employers cannot access the information of an employee. The employers' who wish to access the information, have to go through a verification process, the details of which are provided to them by the employees' . The information accessed and downloaded by the employer is marked as verified or unverified with details of the source of verification for verified data and the reason for unverification for unverified data. Moreover, if the institute or employer hasn't linked with the system and any data has been verified by a private verification agency, once the institute or employer links with the system, the data gets again synchronized and verified as the verification done by the institute or employer has the highest authenticity. During this process if the synchronized data is found erroneous by the employee and needs to be corrected or if some mismatch is found during synchronization due to which the information can't be verified, a back end support team of the system is allotted the work to look into the matter and resolve the issue. The employee can access his data in a readonly mode. Whenever an employee finds a wrong entry by any of his educational institute/employer, he has to inform the system regarding the same following which the system communicates with the educational institute/employer and with their affirmation, gets the data rectified. Moreover, if an employee requires a change in his basic data like his residence details or any such data, he needs to get it verified through the verification agencies of the system by paying the requisite fees.

The present system also gives a score to the employee depending on the comments provided by his employers, his academic achievements, his stability, his integrity and other such factors. This score helps prospective employers in deciding the eligibility of the employee for employment. This score is a benchmark for all employees thereby helping in identifying the right candidate. When an employee changes a job or a fresher gets a new job, he has to confirm the same with the system and give access of his data to his new employer who adds the employment details of the employee and updates these details according to changes. The employer then has access to the employee's information and can update them until he leaves the job with a no objection certificate.

The present system also has the facility for providing certified copies of various verified testimonials to the employees. For this, the employee has to send a request to the system to provide him with the certified copies of the verified testimonials he requires and pay a nominal fee for the same. The system then provides him with the certified copies of the required testimonials in the format issued by the certifying source which he can download and print.

Employer: Employers include all those natural persons and other than natural persons, who provide employment to the people of the country. All such employers need to register themselves with the system by creating a login ID and providing a password and their basic details which are confirmed by the system after which they are registered with the system having their unique ID and password. Following this, they can log in as existing users and are indexed by permanent data like their Permanent Account Number (PAN No.) or ON No. or DIN No. etc. in India. These permanent data are also linked with the system such that as soon as an employer enters his no., all his information stored in these permanent data is made available to the system of the present invention for verification. As all this information is verified by the Government, it is marked as verified. Using the unique ID and password, when a natural person or other than natural person logs in as an employer, he can create new users of his employees in his panel, the access of which is restricted to the employer. Employers, as shown in Fig. 3, have the authority to upload and update their employees' data as well as access and download their prospective employees' data.

(a) Uploading and Updating Employee data: When the employer registers with the system, he is asked to upload all his employees' data of the previous 10- 1 5 years uptill the current date, in a particular format of the system. This data gets stored in the central server for future use. When any previous employee of the company registers with the system, this data is used for synchronizing and verifying his data. Only the employer has the right to update his current employees' data. Periodically, in accordance with the system of the present invention, the employer has to update the data of all his current employees including the change of position of employees in the company, their increment, their trainings, achievements, salary structure along with the perks enjoyed etc. Moreover if some employee, while working with the employer commits some fraud or conducts some illegal activity or is involved in malpractices, the details of such activities are also updated on the system by the employer. Irrelevant of whether a police case has been lodged or not for such activity, the employer mentions the details of the fraud conducted by the employee for future reference. All police stations are also linked with the system so that they can do the verification of such activities if a case has been lodged against the employee. If an employee has been sacked due to the illegal activity committed, the employer can post it details with the system and also mention the reason for dismissing the employee on his NOC. Employers can also upload the verification report of an employee, conducted previously using the services of a private verifying agency, which was used for verifying his data before his appointment so that the employee and his new employers can save the fees for getting the data verified by private agencies again thereby avoiding repetition. When an employee leaves his job, the employer has to immediately update the status along with a no due and no objection certificate. As soon as these certificates are uploaded, the employer loses his authority to access and update the employee's data. These rights are then gained by the employee's new employer whom the employee has given the access with a valid verification process. Special care is taken that this verification is done by a genuine employer and not a fake one.

When an employee gets a new job, he is required to confirm a link sent by the new employer, following which the employer gets access to the employee's data and can update his present status after the date of joining. However this new employer can just access the employee's previous data of earlier employment in read only mode. He can't edit this old data as it remains locked for editing or frozen. According to the system of the present invention, employers need to regularly update the system of new recruitments and keep on updating their data,

(b) Accessing and downloading prospective employees data: When an employer finalizes a candidate for recruitment with him, he will ask this prospective employee for his basic data which when entered in the system provides him with access to the prospective employee's data which can be downloaded by him. All this data is marked or tagged as verified or unverified data as the case may be so that the prospective employer can believe in its authenticity. In this manner a prospective employer gets authentic information of his prospective employee's educational qualification, work experience, his position occupied and salary drawn in his previous job, his certificates and credentials from his previous employers. Moreover, as the system provides a score to all employees based on his various traits, the scoring also helps in the decision making process of the employer to employ the candidate. All this previous information of the prospective employee can be accessed and downloaded by the employer, but he cannot edit or change any of this data.

Educational Institutions and Certifying Institutes: Educational Institutions and certifying institutes include all the schools, colleges, government boards including state boards, central boards, ICSE etc., universities awarding degrees to students, training institutes awarding certificates to students etc. A list of all these educational institutions and certifying institutes is present in the system. The system contacts all these institutions to link themselves with the system and upload the academic data of all its present and ex-students onto the system. For this process, as shown in Fig. 4, the institutes initially register themselves with the system by giving their basic information following which they get a temporary login ID & password. The institute then has to upload some required documents and details to authenticate themselves with the system. These documents are verified by getting them approved from higher authorities following which the institute gets authenticated and is allotted a permanent login ID with password along with getting access to the system. The institute uploads all its students' data in the system, giving the year of passing, stream of study, result, certificate number etc. which is stored in the central server in a properly indexed manner. Whenever any employee mentions his educational qualification, it is verified from this data present in the server. The ex-students data remains unchanged and in a non-editable mode and can be used for verification when it is input by the employees. However, the institutes have to regularly update the data of its current students after every academic session.

All the uploading and updating of data is done in formats created in S-Excel sheets. Along with these, the institutes are asked to create a format of all their certificates online. So when any previous or current student of the institute requires a certified copy of any of his testimonials, he has to follow a particular verification and payment process, following which he will be able to download the required certificate with a bar code on it which can be used as a certified copy of the verified testimonial. This copy is accepted as a true copy in all private organizations, institutions or government organizations. The income generated from this process may or may not be shared with the certifying institute or the government depending on the terms and conditions agreed upon.

Verifying Agencies: Verifying agencies include those private investigative services who conduct verification and authentication of people for financial gains. Such verification agencies register with the system to get work for which they have to prove their credibility, competence etc. Such verifying agencies need to register themselves with the system as shown in Fig. 5 by giving their basic details following which they will get a temporary login ID and password. Then they have to upload documents on the system which proves their integrity, quality of work, experience, locations, details of their work force etc. These documents are assessed by the back end team of the system and after this verification yields positive results, the terms and conditions for the verification process are mutually agreed upon. Then these verifying agencies are approved from the higher authorities involved with the system. After approval from these higher authorities, these verifying agencies are given a permanent login ID through which they can log into the system and gain access to all its features. Once the verifying agencies are approved and become the verifying agencies associated with the system, they are given the data accumulated from the employees working in the demographic area of the verifying agency which needs to be verified. The agency downloads this data and starts the verification process which may include sending personnel to the institutes or previous employers of the employee as per the requirement to get authentic data from the sources. On gaining the authentic data, they upload their report with the system along with marking the certificate details as verified. These details are again verified by the back end team by comparing with the uploaded report. After the verification, the data is synchronized with the employee data and is marked as verified by the verifying agency.

Police Department: The police department includes all the police stations present in all demographic locations. These police stations or if not convenient, the central police commissioner office of the city, register themselves with the system as shown in Fig. 6 by creating a login ID and providing a password and their basic details including their location, area of coverage, staff details etc. which are verified by the police commissioner office. These police stations or the police commissioner office, upload the data of al l their criminals including their personal details, the details of illegal activities conducted by them, action taken against them, sentence or fine imposed on them etc along with the details of the closure of the case and the acquittal of the person, which are indexed with their identification details like their PAN Card no. or Aadhar card no. or any other important identification document so that as soon as a prospective employer enters the identification details of the employee, he gets to know about these illegal activities too. As these details are entered by the police stations themselves, they are considered verified. These details are stored in the central server and get synchronized with the employee data when it is entered. This way any fraud or illegal activity conducted by any employee is updated on the system so that prospective employers can view all these details of their prospective employee.

The system of the present invention is very advantageous as it links all the employees', employers, educational institutes and certifying institutes and police stations at one place so that all the information gets stored and can be accessed from a single system. Most of this information is verified and so can be relied upon. When an employee is in the process of taking up a new job, his new employer can gain access to the prospective employee's verified details with the details provided by the employee. He can view his verified educational details, work experience, his achievements, weaknesses etc.. all of which have been uploaded by his previous employer. The new employer can also view any frauds or illegal activities committed by his prospective employee. Moreover, the system provides a scoring for each employee depending on his working style, educational qualifications, experience, sincerity, dedication, stability, integrity etc. which helps the employer in deciding the recruitment of the employee. As all this information is verified, the employer doesn't have to pay for the verification process to external agencies. Thus this system saves his time, cost and repetition of the verification process whenever an employee changes a job. This verified data remains with the system and can be accessed in minutes by new employers whenever an employee changes a job. The employees too will be against committing any fraud or illegal activity as these details, entered by the employer and the police, will remain with the system and pose for a threat for him when he is trying for a new job. If the employee is sacked from his previous job due to any illegal activity, the employer will enter the details of the illegal activity in the system and will also display it on the NOC. The system makes the employee verification process much easier and an employee can easily obtain a NOC from his previous employers. Moreover as the access to the employees data is restricted to his current employer who can edit only his present job details, neither the employee nor the employer can edit and manipulate the previous educational or work details. Any new employer can access a prospective employee's data only after sufficient verification due to which the security of the data is well maintained. Even if the employee wishes to access his data, it will be available in a read-only mode for him so that he cannot edit or delete any data. Moreover, if an employee requires certified copies of any of his certificates, he has to verify himself and pay nominal fees following which he gets bar coded certified copy of required documents which he can download and present before any private or government organization which accepts this copy as a true copy. He can also get a soft copy of all his data by paying a nominal amount for the same. Thus the present invention is highly advantageous.

Although the preferred embodiment as well as the construction and use have been specifically described, it should be understood that variations in the preferred embodiment could be achieved by a person skilled in the art without departing from the spirit of the invention. The invention has been described with reference to specific embodiment which is merely illustrative and not intended to limit the scope of the invention as defined in the claims.
